Job Description

The Norfolk and Norwich University Hospital Cytology department was chosen to be the provider of HPV primary testing for the East of England. This means that we are testing up to 450,000 cervical screening samples per year for HPV using the high throughput Roche Cobas systems.

The laboratory also currently processes around 3,000 diagnostic cytology samples per year.

It is a very busy department, and is sited in modern, well-equipped accommodation at the Cotman Centre, on Colney Lane.

We refer patients to 18 colposcopy units and deliver approx. 13 MDTs a month.

As post holder you will assist in the Cytology Office and contribute to an efficient and effective service, under the direction of the Cytology Office Manager to work in accordance with the standards set by Trust Policies and Guidelines.
  • Accurate manual input or electronic transfer of patient samples. Checking patient histories to ensure patients receive the correct follow up in a high throughput laboratory.
  • Ensuring patients who require referral to colposcopy are referred to the appropriate referral unit.
  • Preparation of cases for MDT review

  • Accurate manual inputting of patient details and test requests into the laboratory computer system (LabTrak) ensuring patient ID / Hospital numbers match on the request forms, specimens and database.
  • Accurate electronic transfer of patient details and request via bar-code scanning into the Pathology IT system (LabTrak).
  • Use of appropriate databases (e.g. LabTrak, ICE-Ni, webICE, regional Colposcopy databases, OpenNet, Open Exeter, PAS, Business Objects and Cyres) to compile comprehensive and accurate patient histories for Cytology, Colposcopy and Histology records.
  • To prepare Colposcopy MDT meeting lists for the East of England Pathway Managers.
  • To use the computer to retrieve reports for MDT meetings and liaise with members of staff from other hospitals regarding monthly and fortnightly meetings, handle paperwork and retrieve slides as necessary.
  • Request slides from off-site storage facilities in preparation for audits, reviews and MDTs when required. To record despatch and return slides to off-site facilities.
  • Use of Microsoft Office applications.
  • Produce a Business Objects report daily and weekly to ensure all referrals have been dispatched automatically. To check and compose referral documentation has been sent to the correct hospital.
  • Make telephone and email (NHS.net) enquiries to ascertain a complete cervical screening history.
  • To respond to telephone and email queries in a timely and professional manner. To record all telephone and email enquiries in line with departmental SOPs.
